Who we are
This Privacy Policy explains how [Your Academy Name] ("we", "us") handles your personal information when you use our website and mobile app to take our classes, and when you buy from our online store (if we run one). Questions? Contact us at [your-support-email].
Information we collect
- Account details — your name, email address, optional phone number, and a password (stored only as a secure hash).
- Payment information — handled by our payment provider. We receive your purchase or subscription status and receipts; we do not store your full card details.
- Store orders — when you buy from our store, as a member or as a guest: your name, email address, optional phone number, shipping address (for physical products), billing address, what you ordered and paid, your order history, and any note you add to an order. We also keep a one-way (hashed) form of the network address an order came from, used only to prevent fraud and abuse.
- Learning activity — the classes you access, lessons you complete, and certificates you earn.
- Support messages — anything you send us for help.
- Usage and device data — basic logs such as IP address, device and browser type, and timestamps, used to run and secure the service.
How we use your information
- to provide your classes and manage your account and access;
- to process payments and send receipts, renewal reminders, and account notices;
- to take, deliver and support your store orders — including order confirmations, shipping updates, refund and cancellation notices, and download links (these order emails are sent even if you have unsubscribed from our marketing emails);
- to respond to your support requests;
- to keep the service secure and prevent abuse, including fraudulent orders;
- to meet our legal and accounting obligations.
We use your order details to fulfil the order you asked for, and the hashed network address because we have a legitimate interest in preventing fraud. We do not add store customers to our mailing lists. We do not sell your personal information and we do not use it for third-party advertising.
How we share information
We share personal information only with the providers that help us run the service — our hosting provider, our payment provider, and our email provider — under agreements that limit their use of it, and with authorities where the law requires. [Add any other providers you use.]
Payment processors. Store payments are processed by [Stripe / PayPal]. They receive your card or PayPal details directly (we never see or store your full card number), together with your name, email address and billing address, and, for orders we ship, your phone number and your shipping name and address. They keep their own records of each payment under their own privacy policies and legal obligations. [If you ship physical products, name the delivery companies you use; they receive the shipping details needed to deliver your order.]
Data retention
We keep your information while your account is active and for as long afterwards as the law requires (for example, financial records). You can delete your account at any time from your Account page; see our account deletion page.
Store orders. We keep paid orders — the items, amounts and dates — as financial records for as long as tax and accounting law requires [state the period, for example 7 years]. Orders that were never paid (abandoned, failed or cancelled before payment) have your personal details removed about 30 days after they close.
If you delete your account, your store orders are kept only as anonymised records: your email address, phone number, notes and billing address (apart from the country) are removed straight away, and the links to your orders stop working. If an order still has to be shipped, we keep the shipping name and address until it is completed or cancelled, and at the latest 30 days after it ships. Digital downloads you bought stop working. Orders you placed as a guest are not linked to your account: to have them anonymised, email us from the address you used for the order, with the order numbers. Our payment processors keep their own records of each payment, as described above.
Cookies
We use only essential cookies that keep you signed in. If you use our store, your browser also keeps your cart and links to your recent orders in its local storage on your device, so you can find them again; they stay on your device and you can clear them from your browser at any time. We do not use advertising or cross-site tracking cookies.
Your choices and rights
You can access and update your details from your Account page, see your store orders under My orders, delete your account at any time, and opt out of non-essential emails. For any other request — including anonymising orders you placed as a guest — contact [your-support-email]. Depending on where you live, you may have additional rights under local law.
Children
[If your classes are intended for adults, say so here. If you enroll minors, describe how you obtain parental consent.]
Changes to this policy
We may update this policy from time to time. We will post the updated version here and, for significant changes, let you know.
